Dance First Privacy Policy

Introduction

Dance First is committed to protecting and respecting your personal data. As a business it is necessary for us to collect, store and process personal data from users who access our website at www.dancefirst.co.uk, or otherwise share.

This Policy sets out how we comply with our legal obligations when processing the personal data that we collect from you, or that you provide to us and enables individuals about whom we hold data to have confidence in us, in line with General Data Protection Regulation (GDPR). How do we receive information about you?

The type of information we collect depends on where and when it is gathered.

IP Addresses

We may collect information about your computer, including your IP address, operating system and browser type, for system administration. This is statistical data about our users’ browsing actions and patterns, and does not identify any individual.

When you register on our website, or contact us by post, phone or email, to enquire about a service, to enrol, or attend an event, we need to collect information from you in order to handle the service you are requesting.

We may collect and process and store the following personal information directly from you:

Information that you provide by filling in our Registration Form at the time of booking or contacting us via our Contact Forms on our website www.dancefirst.co.uk

Data we collect may include your name (or name of your child’s chaperone/guardian), your child’s name, address, email, contact number, emergency contact numbers, next of kin, date of birth and school your child attends plus any medical history. If you provide personal information belonging to another person, you confirm you have that person’s consent to pass this on to us.

Past, present and prospective students’ attendance records, information about any special needs and examination marks.

References given or received by Dance First about students, and information provided by previous dance education establishments and/or other professionals or organisations working with students.

If you contact us, we may keep a record of that correspondence.

Photographs and video footage taken while your children are attending our classes or events. We collect consent for this before taking such photographs or videos and provide notices so that parents are aware when we are filming. 

Records of your children’s attendance at classes and events.

Financial records and order details.

We collect the names and dates of birth of your children in order to provide our services to you and your children. In providing us with this data, you confirm you have the authority to do so as parent or legal guardian and you hereby consent to our use of your children’s personal data under the terms of this Privacy Policy.

We also collect medical information so that we can be aware of any issues and be properly prepared to teach your child. We would only share this with relevant Dance First staff.

If you no longer require our services, we will automatically remove all data from our servers and our databases. At any time anyone can request that their data is removed, however in certain circumstances, such as if your child still attends Dance First classes, we must store your details whilst you have an active account. Dance First does not, and will not, sell or give any personal details to anyone outside our organisation.

How do we use the information?

To carry out our business and to provide a service or fulfil a contract with you:

To fulfil enrolment registration and information requests.

Medical details are obtained to enable us to fully support your child’s welfare.

Provide the best possible customer services and to help us with internal administration.

Contact you with important information relating to your registration, such as confirming your request, reminding you of an upcoming event or letting you know about changes to the service.

Where we have your consent:

Send you updates via email about upcoming events and opportunities that we think may be of interest to you.

Email you about a specific topic you’ve requested further information on.

Use your personal data (or that of your child) in our marketing campaigns.

Where we have justifiable reason (including legal obligation and legitimate interest):

Learn about your interests and preferences so that we can contact you with information that is relevant to you.

Help us target our marketing communications and adverts so that they’re more relevant to you.

Use your pseudonymous details to show you advertising on such Social Media platforms as Facebook and Instagram or through other third party advertising that may appear on other websites you use. The information shared with these platforms is pseudonymous to protect your personal data.

Measure and understand how our audiences respond to a variety of marketing activity so we can ensure our activity is well targeted, relevant and effective.

Analyse and continually improve the services we offer including our website and our other products.

We may disclose your personal information to any individuals within our organisation. Generally, personal data collected by Dance First will remain wholly within the school and will be processed by appropriate individuals only in accordance with access protocols (i.e. on a ‘need to know’ basis).

We may disclose your personal information to some third parties:

Those third parties involved with us in providing the services to you, including but not limited to: professional advisers (lawyers, insurers, PR advisors and accountants), government authorities (HMRC, DfE, police or the local authority); and appropriate regulatory bodies (e.g. The Royal Academy of Dance, the Imperial Society of Teachers of Dancing).

Dance First is required by law (including Keeping Children Safe in Education) to record or report incidents and concerns that arise or are reported to it, in some cases regardless of whether they are proven, if they meet a certain threshold of seriousness in their nature or regularity. This is likely to include file notes on personnel or safeguarding files, and in some cases referrals to relevant authorities such as the local authority or police.


Rights of access

Individuals have various rights under Data Protection Law to access and understand personal data about them held by Dance First, and in some cases, ask for it to be erased or amended or have it transferred to others, or for Dance First to stop processing it.

You can request full details of the personal information we hold about you at any time. Additionally, you have the right to ask Dance First to amend, correct, update or stop how it uses your personal information including for marketing purposes. You can do this by phoning, emailing or writing. If you have any concern about the accuracy of your personal data, please let us know. 

Certain data is exempt from the right of access. This may include information which identifies other individuals, or information which is subject to legal professional privilege by Dance First for the purposes of the education, training or employment of any individual.

We reserve the right to amend or revise the Privacy Policy. The last revision will be reflected in the "Last modified" section.
